Change Control
The monitoring and controlling of any changes is vital to the success of a project. Even small changes can have a cumulative affect that can cause the project to complete over budget and/or schedule.
To avoid this, any change to the project should be documented in a Change Request and be appropriately authorised. If the change is within the tolerances that the Project Manager has been given, then they can authorise the change. However, any change that exceeds the Project Manager’s tolerances should be taken to the Project Board for discussion and approval before the change is made.
A Change Request should include the following information:
- A description of the change required and the steps necessary to achieve it.
- An explanation of why the change is needed/desirable
- Cost and Time implications. These aren’t necessarily increases – the change may be a saving that has been found.
- Resource implications – does the change require specialists or equipment? Will any additional staff time be needed?
The next section introduces a procedure when change is forced upon us by unexpected events, Exception Control.
