Communication Plan
Successful communication is about sharing the right information, at the right time, with the right audience and manage expectation. A Communications Plan will help you to identify how you will do this. The Communication Plan is a logical follow on from the Stakeholder Analysis, so you should consult your notes from this activity to help you link appropriate communications with a stakeholder.
A Communication Plan is a document containing the following information:
- Who (individuals or groups) will be communicated with?
- What information will be communicated with them?
- What format will the communication take? (e.g. phone call, meeting, newsletter etc.)
- When or how often will this take place?
Planning communications with project stakeholders means that you can be confident that everyone has the latest information and nobody has been forgotten. This helps build support and prevents any mistrust or misunderstandings developing when people are left without information. Everyone involved in the project should be aware of the Communication Plan.
The next section introduces the Project Controls that should be used on a project to give the Project Board confidence that the project is being run correctly.
