The Project Definition Workshop (PDW) is held early on in the life of a project. Its aim is to refine and flesh out the initial project idea and bring greater clarity by involving more people in discussions about what is expected. The PDW meeting should bring together those known stakeholders and relevant managers and identify:
 
 
On smaller projects a detailed analysis of the risks can form part of the PDW. However, for larger projects it is worth considering having a dedicated Risk Workshop.
 
During the PDW it is also worth revisiting the business case and adding any extra information to the project description that may have come to light e.g.
 
  • Additional benefits
  • Information relating to the scope of the project (e.g. what should or shouldn't be included)
  • Any assumptions that have been made in the production of earlier information
  • Better estimates about cost
  • A list of people confirmed to be available for delivering the project
 
These discussions will give a sound basis for the more detailed work leading up to the Outline Business Case and Project Initiation Document.
